Automation rules

Automation rules trigger gifts based on events in your employee data, things like work anniversaries, birthdays, and milestones. The page lives at /gift-cards/corporate/automation. This page covers how rules are built and managed.

The portal currently ships Automation v1 (Simple Rules), which supports trigger plus action with optional filtering. Advanced features (complex conditions, multi-step workflows, conditional approval flows) are flagged as planned for future versions.

What automation can do

Automation watches the employee records you've added to the platform and triggers gifts when a condition is met. Typical rules:

• "Send a Solara card 7 days before each work anniversary"
• "Send a Terra card on each birthday"
• "Send an Ember card when an employee crosses 5 years of service"

Building a rule

From Programs > Automation, create a rule with:

• A trigger (date offset from a milestone or specific date)
• A filter (which employees this applies to — all, a team, a custom list)
• A tier and message template
• An approval policy (auto-approve up to a budget, or require manual approval each time)

Pre-approval

Pre-approval lets automation run without you reviewing each gift. You set a maximum monthly budget, and any gifts inside that budget go out automatically. Gifts exceeding the budget queue for manual review.

Auditing

Every automated gift is logged with:

• The triggering event
• The rule that fired
• The approver (or "auto-approved")
• The order and recipient details

You can pull this log from the Reports area for audit or finance review.

Pausing automation

Rules can be paused individually or all at once from the Automation panel. Pausing keeps the rule but stops it from firing.

Limits

Automation only triggers based on data you've added. If an employee is missing a birthday or hire date, no gift fires for that field. The Employees area surfaces missing data so you can fill gaps.
